3. Information We Collect

3.1 Information You Provide Directly

We collect personal information that you choose to provide, including when you:

  • Use the “Say Hello” page or other contact forms to reach out.

  • Communicate with us by email.

  • Access and use our Client Portal as an authorized client.

The information you provide may include:

  • Name and contact details (such as email address).

  • Project or property details that you describe in your message.

  • Any other information you choose to include in your communications.

We do not currently accept file uploads through the Website; any documents are shared via email or through the Client Portal after we connect with you.

We do not collect payment card or bank information through the Website. Invoicing and payment are handled separately (e.g., through third-party tools or direct arrangements) and subject to those providers’ own terms.

3.2 Information Collected Automatically

At this time, we do not use web analytics tools (such as Google Analytics, Plausible, or similar) or advertising pixels on our Website.

Our hosting and basic web infrastructure may automatically log standard technical information (such as IP address, browser type, and pages visited) in server logs for security, troubleshooting, and performance purposes, but we do not currently use those logs to build profiles or run analytics campaigns.

3.3 Cookies and Similar Technologies

We use a simple disclosure approach for cookies. The Website may use strictly necessary and basic functional cookies operated by our hosting or infrastructure providers to ensure security and proper functioning.

  • We do not use cookies for advertising, behavioral tracking, or remarketing.

  • You can control or delete cookies through your browser settings, but certain website functions may not work properly if cookies are disabled.

4. How We Use Personal Information

We use the personal information we collect for limited, business-focused purposes:

  • Connecting with potential clients: To read and respond to your inquiries, schedule introductory calls, and determine whether there is a potential fit for an engagement.

  • Providing consulting services: To plan, manage, and execute consulting engagements, including strategy, regulatory navigation, and coordination with your project team.

  • Client communication: To communicate about active matters, meetings, timelines, and deliverables through email and the Client Portal.

  • Business operations: To maintain internal records, manage billing and timekeeping, and meet accounting and tax requirements (e.g., via Harvest).

  • Legal and compliance: To comply with applicable laws, respond to lawful requests, and protect our rights or the rights of others.

We do not:

  • Run broad marketing newsletters or email blasts from these data.

  • Use your information for advertising or remarketing.

  • Sell, rent, or trade your contact details with third parties for their own marketing purposes.

If we ever wish to use de-identified aspects of a project as a case study or example, we will do so in a way that does not identify you or your project without your explicit agreement.

5. How We Share Information

We limit how we share personal information, and share it only as needed to run our consulting practice and serve clients.

5.1 Service Providers and Tools

We use a small set of third-party tools to operate our business, including:

  • Foyer – for our Client Portal, used to securely share matter-related documents and information with clients.

  • Notion – for internal notes, knowledge management, and project organization.

  • Harvest – for time tracking and billing.

We also use Google for email and productivity (e.g., Gmail, Google Drive). These providers act as service providers or processors on our behalf, and they may handle personal information as necessary to provide their services to us. Their own privacy policies and security practices also apply.

5.2 Engagement‑Related Sharing

As part of consulting engagements, we may share relevant project information with:

  • Members of your own team and other consultants you designate (e.g., planners, engineers, attorneys, design professionals).

  • Government agencies, boards, commissions, and public bodies involved in permitting or regulatory processes.

We share only what is reasonably necessary for each purpose and consistent with the scope of the engagement.

5.3 Legal and Safety

We may disclose personal information when we believe it is necessary to:

  • Comply with applicable laws, regulations, or legal process.

  • Respond to lawful requests from public authorities.

  • Protect our rights, privacy, safety, or property, or that of our clients or others.

We do not sell or rent your personal information, nor do we share it with third parties for independent marketing purposes.

6. Data Retention

We retain personal information for as long as reasonably necessary to:

  • Evaluate potential engagements.

  • Deliver and manage consulting services.

  • Maintain appropriate business, tax, and professional records.

  • Comply with legal and regulatory obligations and professional standards.

"Normal timeframe" in this context generally means retaining client and matter records for several years after a matter closes, consistent with standard professional practices, and retaining inquiry communications for a reasonable period in case a matter later proceeds.

When information is no longer needed and no longer required to be kept by applicable law or professional obligations, we will delete it or anonymize it. Where feasible, and subject to legal/professional duties, we will honor reasonable requests to delete or reduce retention of your information.

7. Data Security

We take reasonable administrative, technical, and organizational measures to protect personal information, including:

  • Using reputable cloud-based service providers (such as Google, Foyer, Notion, and Harvest) that offer encryption, access controls, and security features.

  • Limiting access to personal information to the owner and a small number of contractors or collaborators who need it to perform their work.

  • Applying standard security measures such as strong passwords and, where available, multi-factor authentication.

No system can be guaranteed to be completely secure. We cannot promise or guarantee absolute security of information; however, we work to use appropriate measures and vendors to reduce risk.

8. Your Choices and Rights

8.1 Access, Correction, and Deletion

Subject to applicable law and professional obligations, you may:

  • Request access to personal information we hold about you.

  • Request correction of inaccurate or incomplete information.

  • Request deletion of your personal information where it is no longer needed and not required to be retained by law or professional standards.

8.2 How to Exercise Your Rights

To exercise any of these rights, or to ask questions about how we handle your information, contact us at:

Email: chandra@coastalverite.co (or the designated privacy email)

We may need to verify your identity before responding, and we may decline or limit certain requests where we are required to retain information to comply with legal or professional obligations.

We do not use SMS/text marketing, so there is no SMS opt-out mechanism required at this time.

9. Children’s Privacy

Our Website and services are intended for adults in a professional context and are not directed to children under the age of 18.

We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will delete that information. If you believe a child has provided us with personal information, please contact us using the email above.

10. International Use and Legal Basis

Our services and Website are primarily intended for individuals and organizations located in the United States, with a focus on California.

We do not specifically design our practices or Website to comply with the EU General Data Protection Regulation (GDPR), UK GDPR, or other foreign privacy frameworks. By using the Website or contacting us from outside the United States, you understand that your information may be transferred to and processed in the United States under U.S. law.

11. Changes to This Privacy Policy

We may update this Privacy Policy when our practices, services, or legal obligations change. When we do, we will revise the “Last Updated” date at the top of this page.

Changes are effective when posted. We may, at our discretion, provide additional notice of material changes (for example, to active clients via email or the Client Portal), but we are not required to send individual notices for every update.
